Flexi Desk vs Smart Office vs Ejari

The workspace you take is not an administrative detail — it is what sets your visa quota. A flexi desk, a smart office and a real leased office with an Ejari are three different things with three different visa allocations, and the choice is usually worth more than the rent difference.

Why this decides your visa quota

Two companies with identical trade licences can have completely different visa allocations, because quota follows the facility, not the licence. A licence-only package gives none. A flexi desk gives one to six depending on the tier you bought. Once you lease real space, most authorities switch to a space-based calculation of roughly one visa per 9 sqm.

The trap is buying the cheapest package and then needing a fourth visa. Upgrading later costs the quota increase fee plus often a new facility contract, which is more than buying the right tier at the start. Full detail on free zone visa quota.

What Ejari actually is — and when you need it

Ejari is Dubai's tenancy registration system. Registering a lease makes it official, and it is what connects a tenancy to utilities, visas and licence renewals.

  • Mainland company — yes. A registered Ejari is required, and your visa quota is calculated from the leased area.
  • Free zone company — generally no. The free zone issues its own lease or facility agreement, which serves the same purpose within that zone.
  • Flexi desk or smart office — no. That is a large part of why they are cheaper and faster.

Registration itself is inexpensive, in the region of AED 200 to 1,000 depending on how it is processed. The cost that matters is the rent behind it, which on the mainland is a real annual commitment rather than a package fee.

How to choose

  1. Count the visas you will need in 24 months, not today
  2. If that number is six or fewer and nobody needs to sit anywhere, a flexi desk or smart office covers it
  3. If you need staff on site, stock, or walk-in customers, you need real space regardless of cost
  4. If you must sell directly to mainland UAE customers, you are on the mainland, so budget Ejari and rent
  5. Compare the two-year total, since renewal pricing is where cheap packages catch up with you

Flexi Desk vs Office — FAQs

What is a flexi desk?

A shared desk in a free zone business centre that you can book when you need it, sold as part of a licence package. It satisfies the premises requirement of the zone and carries a visa allocation, typically one to six depending on the package tier, without you leasing a dedicated unit. It usually costs AED 5,000 to 15,000 a year.

What is the difference between a flexi desk and a smart office?

A flexi desk gives you an actual shared desk you can use. A smart office is generally a registered address and package tier with no physical desk attached. Both satisfy the premises requirement and both carry a visa quota set by the tier you buy. Smart office packages often start cheaper and some include a zero-visa option.

Do I need Ejari for a free zone company?

Generally no. The free zone issues its own lease or facility agreement which serves the same purpose inside that zone. Ejari is Dubai tenancy registration system and applies to mainland leases, where it is required and where your visa quota is calculated from the registered area.

How many visas can I get with a flexi desk?

Typically one to six, set by the package tier rather than by your activity. Above that you need a dedicated office, at which point most authorities switch to a space-based calculation of roughly one visa per 9 sqm. Note that your own investor visa usually counts as one of the allocation.

Is a flexi desk cheaper than an office?

Yes, substantially, and that is the point of it. A flexi desk is AED 5,000 to 15,000 a year against AED 15,000 and upwards for a leased office before fit-out, utilities and Ejari. The question is not which is cheaper but whether your visa count and operations fit inside what a flexi desk allows.

Can I upgrade from a flexi desk later?

Yes, but it costs more than buying the right tier initially. You pay a quota increase fee, commonly AED 1,500 to 5,000, plus the cost of each new visa and often a new facility contract. Model the visas you will need over two years rather than today before choosing a package.
