The card itself is routine to renew. What catches companies out is the order of dependency: the establishment card renews after the trade licence, and while it sits expired every visa action for every employee is blocked — not just new hires.

Renew the trade licence first

This is the most common reason a renewal stalls. The establishment card is issued against a valid trade licence, so the immigration authority will not renew the card while the licence behind it has lapsed. The sequence is fixed:

  1. Tenancy contract / Ejari renewed, where your licence requires premises
  2. Trade licence renewed
  3. Establishment card renewed against the new licence
  4. Only then can employee visas and permits be processed

Work backwards from your licence expiry rather than the card expiry, because the licence step is the one that can take time.

The list is short and stable. What varies is who you file with — ICP or GDRFA on the mainland, or your free zone portal.

  • Valid trade licence, meaning the renewed one
  • The existing establishment card
  • Passport copy of the owner or manager, and Emirates ID where held
  • Tenancy contract or Ejari, where your licence type requires premises
  • Memorandum of Association or equivalent, if requested

Free zones usually renew the card as part of a bundled licence renewal, so you may never file it separately. Mainland companies generally do file separately, which is why mainland renewals have more moving parts.

What it costs, and what the fine depends on

Published card fees are modest — typically a few hundred dirhams plus knowledge and innovation fees. The cost that actually hurts is the late penalty, and you should be sceptical of any page quoting one flat number for it.

  • No new employment visas can be applied for
  • Existing visa renewals are blocked too, so staff can fall out of status through no fault of their own
  • Cancellations can also be held up, which matters when someone is leaving
  • Some banking and portal actions tied to the company file stop working

That is why an expired card escalates quickly. It is not a filing problem, it is a freeze on your ability to employ anyone.

Checking status and tracking a renewal

Status sits with whoever issued the card, which is the usual source of confusion:

  • Mainland — ICP smart services channels, or GDRFA for Dubai-issued files
  • Free zone — your zone portal, where the card normally appears inside the licence record rather than as a separate item

If you cannot find a standalone card record in a free zone portal, that is usually because the zone renews it with the licence, not because something has gone wrong.

Amendment is not renewal

Changing the company name, legal form, manager or address means amending the card, a separate transaction from renewing it. An amendment mid-term does not reset the expiry date, and a renewal does not pick up changes you never formally filed. Companies that move premises and update only the licence often discover the mismatch at their next visa application, because the card still shows the old address.
