Business setup quotation software
A UAE company formation quotation has to be itemised, correct and current: licence and registration fees, visas, office, government charges, your service fee and VAT. Here is what good quotation software should do, and how our free tool handles each point.
Where spreadsheet quotations go wrong
Versions multiply
"Quote_final_v3.xlsx" is sent twice, edited once, and nobody is sure which one the client accepted.
Totals break
A new visa line is added but not included in the total, or VAT is applied to a government fee that should pass through at cost.
Fees go out of date
Government and free zone fees change. A template copied from last year quietly carries old amounts.
No follow-up signal
An attachment gives no sign whether the client opened it, so follow-up calls are guesswork.

Getting the numbers right
The hardest part of a setup quotation is not the layout but the numbers. Two rules keep quotations defensible:
- Separate pass-through government fees from your own fee. Clients trust a quotation more when they can see which amounts are set by an authority.
- Show where official amounts come from. Our verified UAE government fee list records the official page and the date each fee was checked; lines you insert from it keep that source.
Free zone package prices are not pre-filled anywhere in the tool. Take them from the zone’s current price list; our free zone guides only give indicative ranges for planning.

Frequently asked questions
Why not just use Excel or Word for quotations?
Spreadsheets work until you have several versions per client. Totals and VAT are easy to break when lines change, files go out of date, and you cannot see whether a client opened the quote. Dedicated software keeps one current version per quotation, recalculates totals on save and tracks opens and responses.
Does the software calculate UAE VAT?
Yes. If your business is VAT registered, 5% is added to the lines you mark as VAT-able, and your TRN is shown on the quotation. Government fees passed on at cost are usually added without VAT, so each line has its own VAT switch. Check your own VAT position with your tax adviser.
Can I show government fees separately from my service fee?
Yes. Lines are grouped into government fees, licence, visas, office, consultant service fees and other costs. Government fees inserted from our verified list carry their official source link and check date.
Is my client data safe?
Each consultant can only see their own quotations and clients. Shared links are random and long, can expire or be switched off, are hidden from search engines, and do not show your client's email or phone number.
